Process clean transportation rebate applications using a customized Salesforce.com CRM system and other computer systems
Follow detailed, standard practices and operating procedures to review rebate applications and varied, complex supporting documents for accuracy and completeness
Make quick, consistent decisions following detailed program terms and conditions to determine rebate applicant eligibility
Provide technical support to applicants for the online application and document submission processes
Explain complex project requirements to applicants on the phone and in writing
Use good judgment when speaking with applicants about non-public personal information
Handle highly sensitive documents that contain non-public personal information, following mandatory security processes
Use template-based and customized emails to communicate professionally and accurately with rebate applicants
Prepare and mail rebate checks to rebate applicants
Work effectively with fellow team members to complete rebate processing tasks, assisting others when opportunities arise

Position Overview: The Facilities & Operations Office Sr. Coordinator plays a pivotal role in ensuring the efficient and smooth operation of our organization's facilities. This position involves maintaining accurate records, managing inventories, and coordinating essential training and onboarding procedures. A key focus will be on managing insurance requirements, collaborating closely with the IT department, and overseeing building maintenance to ensure a safe and functional workspace.

Key Responsibilities: The Facilities & Operations Office Sr. Coordinator will:

Insurance Management: Handle the requirements for business insurance, interact with insurance brokers, and ensure compliance with corporate insurance policies. Assist in managing insurance requirements for facilities, off-site events, and sub-contractor needs.
Partnership with IT: Support IT in tracking computers, monitors, and other equipment. Assist with packaging, shipping, and mailing computer equipment and accessories. Provide first-level operations-related IT support and manage hardware inventories.
Building Maintenance: Coordinate building maintenance and repairs. Implement and maintain safety policies and procedures and assist in the design and implementation of emergency response and disaster recovery procedures. Oversee office layout, systems planning, and equipment procurement.
Administration Support: Coordinate and book travel for CSE personnel, administer new employee orientations, and manage building access for employees. Maintain clear and accurate operational documents and procedures for reference and compliance purposes.
Procurement and Inventory Management: Assist with company procurement, inventory management, and reconciling credit card charges related to general procurement and travel expenses.
Additional Duties: Provide support for company event planning, assist with budget processes for the Facilities and Operations department. Manage inventory of offsite storage and update standard operating procedures annually.

Essential Functions and Responsibilities:

With guidance from senior T&I staff, the Junior Data Visualization Specialist works both independently and collaboratively on projects. Their responsibilities include the following:

Data Visualization and Reporting:

Understand and implement best practices for T&I’s interactive and static data visualization deliverables, which can range from web-based interactive dashboards and static charts to maps, predictive models, and other reporting tools such as static tables and infographics.
Support Data Visualization Specialists during the design and development phase of data visualization deliverables, including contributing to user story interviews, and applying UX/UI principles to wireframe designs and design tasks.
Access data and facilitate reporting from existing databases.
Use and maintain standards of practice documentation, complete projects, and ensure consistent quality across our visual analytics deliverables.
Contribute to training modules and learning opportunities for staff to learn visual analytics skills.

Research and Statistical Methods

Perform statistical analysis (descriptive statistics) and/or GIS-based spatial analysis.
Perform quality control (QC) on data analysis conducted by research analysts.
Assemble, manipulate, analyze, and interpret data from various sources, potentially in coordination with external research partners.
Compile, read, and summarize existing literature to frame research efforts and inform policy.
